Eventene Privacy Policy

How Eventene collects, uses, shares, and protects personal information.

Eventene, Inc. (“Eventene”, “we”, “us”, or “our”) provides event management software and services, including www.eventene.com, other websites under the eventene.com domain, and the Eventene mobile application (collectively, the “Services”). Eventene is a Delaware corporation with its principal business operations in Santa Monica, California.

We provide the Services primarily to enterprise customers and event organizers (“Organizers”). In most cases, Eventene acts as a service provider and data processor, processing personal information on behalf of the Organizer. This Privacy Policy explains how Eventene collects, uses, shares, stores, and otherwise processes information in connection with the Services and when you otherwise interact with us.

This Privacy Policy does not apply to websites, mobile applications, or services that do not link to this Policy, including tools provided directly by Organizers or third parties. Organizer and third-party privacy practices are their own responsibility.

1. White-Label and Branded Versions

Eventene may provide white-label versions of our platform, distributed under the Organizer’s brand. Regardless of branding or app store listing name:

  • The underlying software, hosting, and data processing infrastructure are operated by Eventene.
  • Eventene processes personal information on behalf of the Organizer.
  • The Organizer remains the data controller for Organizer data, including event rosters, registrations, activities, messages, lead scans, and attendee lists.

Eventene works with Organizers to maintain privacy and security standards. However, Organizers determine what data is collected and how it is used.

2. Information We Collect

We collect information from users of the Services, including Organizers, event attendees, visitors to Eventene websites, and those who contact Eventene support.

A. Personal Contact and Profile Information

Examples include:

  • First and last name
  • Email address
  • Phone number
  • Mailing or physical address
  • Role, job title, company or organization
  • Demographic information (e.g., gender, age if provided)

B. Account Information

  • Username and password created for an Eventene account
  • Authentication tokens from third-party sign-in services (Microsoft, Google, Apple)

We do not receive or store your third-party account password.

C. Third-Party Data Provided By Others

We may receive information about you from other users or Organizers.
For example, if an Organizer invites you to an event, they may provide your name or email.

D. Event Participation Data

Examples include:

  • RSVP status
  • Activity or session sign-ups
  • Attendance or check-ins
  • Seating or group assignments
  • Dietary restrictions or preferences (if provided)
  • Lead information collected at an exhibitor’s booth

Eventene processes this data on behalf of the Organizer.

E. Transaction History

If you purchase items via the Services:

  • We may record transaction amounts or product types
  • Payment card information is processed exclusively by Stripe
  • Eventene does not receive or store full card numbers

Stripe processes card data in accordance with its own Privacy Policy.

F. Geolocation (Optional)

If authorized, we may collect precise device location to assist with navigation to venues or nearby event activities.

You may disable geolocation at any time.

G. Feedback & Support Correspondence

Information you provide when you:

  • Request assistance
  • Report issues
  • Submit feedback

H. Third-Party Platform or Social Network Data

If you login or connect using a third-party service:

  • We may receive information authorized by that platform (e.g., name, profile image)
  • You may control shared information via that platform’s settings

I. Engagement & Preference Data

Information about how you interact with the Services, including notification preferences.

J. Automatically Collected Data

We and our service providers may use cookies, beacons, and similar technologies to collect:

Device Information

  • Device type
  • OS version
  • Manufacturer/model
  • Browser type
  • IP address
  • Device identifiers (IDFA, GAID)
  • Screen resolution
  • General location (e.g., city, region)

Online Activity

  • Pages or screens viewed
  • Navigation paths
  • Session duration
  • Links clicked or emails opened
  • Access times
  • Diagnostic or performance data

3. Responsibility for User Content (Aligned with TOS §4)

A. User or Organizer-Provided Content

Certain Service features allow users to upload, transmit, or otherwise make available content (“User Content”).
Examples include event details, attendee profiles, chat messages, or documents.

Eventene does not control or endorse User Content.
The party that created or submitted User Content bears full responsibility for it.

Organizers are responsible for:

  • Compliance with applicable laws
  • Lawful basis for collecting participant data
  • Permissions and rights for content submitted

B. No Obligation to Monitor or Pre-Screen

Eventene has no obligation to pre-screen or monitor User Content.
We may remove content that:

  • Violates the Terms of Service or applicable law
  • Threatens the integrity or security of the Services
  • Is otherwise objectionable

Monitoring is performed for Service operation and safety, not for your benefit.

C. No Expectation of Privacy in Interactive Features

You should not expect privacy for communications shared through:

  • Chat or messaging
  • Group channels
  • Voice features
  • Public or semi-public post areas

Access to such content is determined by the Organizer or event configuration.

4. How We Use the Information We Collect

A. Providing and Operating the Services

We use personal information to:

  • Create and manage accounts
  • Register users for events
  • Facilitate event communications
  • Enable QR scanning and lead capture
  • Display schedules and session information
  • Deliver push notifications and alerts
  • Provide customer support
  • Enforce access controls and security features

B. Communications

We may contact you with:

  • Service updates
  • Security alerts
  • Feature changes
  • Operational notices

Marketing communications are optional and can be opted out.

C. Research and Development

We analyze usage and performance to:

  • Improve reliability
  • Enhance user experience
  • Develop new Services

D. Legal Compliance

We process or disclose information as required by:

  • Applicable laws
  • Government inquiries
  • Subpoenas or court orders

E. Security, Fraud Prevention & Safety

We may use data to:

  • Verify user identity
  • Investigate misuse or fraud
  • Protect rights and property
  • Enforce Terms of Service
  • Detect unauthorized activity

F. Aggregated or De-Identified Data

We may create de-identified or aggregated datasets that cannot reasonably identify an individual.

**G. No Sale or Monetization of Personal Data

Eventene does not sell, rent, or monetize personal information or User Content.
We do not allow third parties or Organizers to sell or commercialize personal information collected via the Services.

Personal data is processed solely to provide and operate the Services.

5. How We Share Information

A. At the Direction of Organizers

We may share information with third parties as instructed by the Organizer, who remains responsible for their own privacy practices.

B. Service Providers (Subprocessors)

We employ service providers for:

  • Hosting
  • Authentication
  • Analytics
  • Messaging and email delivery
  • Data storage
  • Customer support

These providers process data only per Eventene’s instructions and contracts.

C. Compliance or Safety Reasons

We may disclose information to:

  • Respond to legal process
  • Protect safety or property
  • Prevent unlawful activity
  • Defend legal claims

D. Professional Advisors

We may share data with auditors, lawyers, insurers, and financial institutions to support legitimate business purposes.

E. Business Transfers

In the event of merger, acquisition, reorganization, or similar transaction, personal information may be transferred.

6. Data Portability and Retention (Aligned with TOS §4)

A. Export on Request

Upon written request from an Organizer within 60 days after account termination, Eventene may provide a machine-readable export of Organizer data and User Content stored in production systems.

B. Post-Termination Deletion

After the 60-day period, Eventene may delete or anonymize Organizer data and User Content unless retention is required:

  • By applicable law
  • For audit or accounting
  • For legitimate business purposes

C. Backups

Eventene maintains disaster recovery backups.
These backups are temporary and not available for user retrieval or archival.

7. Your Choices

A. Access, Update, or Delete

You may request access, correction, or deletion of your personal information at:

Where Eventene acts as processor, we may direct you to contact the Organizer.

B. Opt-Out of Marketing

You may unsubscribe using the link provided in marketing emails.
This does not affect operational communications (event confirmations, system notices).

C. Cookies

You may disable cookies in your browser.
Some Service functionality may be limited.

D. Location Services

You may revoke geolocation permission at any time.

E. Third-Party Logins

You may change or revoke data shared with third-party platforms in their own settings.

8. GDPR Compliance (EEA/UK)

Individuals in the European Economic Area and UK may exercise rights to:

  • Access
  • Correction
  • Deletion
  • Portability
  • Objection
  • Restriction of processing

Eventene processes data based on:

  • Contract performance
  • Legitimate interest
  • Legal obligation
  • Consent where required

Where Eventene is a processor, GDPR requests must be directed to the Organizer.

9. CCPA / CPRA Compliance

California residents have rights to:

  • Know what data is collected
  • Request access
  • Correct inaccurate data
  • Request deletion
  • Opt-out of sale or sharing

Eventene does not sell or share personal information as defined under California law and does not use personal information for cross-context behavioral advertising.

10. Children’s Information

The Services are not directed to children under 13.
We do not knowingly collect personal information from anyone under 13 without parental consent.

We will delete data as required.

11. Security

Eventene maintains technical, administrative, and physical safeguards to protect personal information.
No system is completely secure.

Users are responsible for maintaining the confidentiality of login credentials and device access.

12. Third-Party Websites

The Services may contain links to third-party websites.
We are not responsible for their policies or content.

13. International Data Transfers

Eventene is a Delaware corporation operating in the United States.
Personal information may be transferred to the U.S. or other jurisdictions where privacy laws may differ.

When legally required, we apply appropriate safeguards, such as standard contractual clauses or processor agreements.

14. Changes to This Policy

We may update this Privacy Policy periodically.
The “Last Updated” date will reflect the most recent revision.
Continued use of the Services indicates acceptance of changes.
